Payment and Cancellation Policy for WildTantra retreats at Soul Valley

Payment policy
• The course fee consists of two parts: an accommodation fee and a teaching fee.
• The payments need to be settled within 7 days after receiving the payment requests and before the day of the event.
• For the accommodation fee, you will receive a payment request of €1150 upon booking the retreat.
• Your registration is only final after we have received your payment of the accommodation fee.
• For the teaching fee, you will receive a payment request of €1150, 3 months before the retreat starts.
• These 2 payments add up to the total amount of €2300 for the retreat.

Cancellation policy
We ask you to notify us as soon as possible if a booking is to be cancelled or changed. Cancellations or changes must be made by email.
When you can’t meet the ‘conditions for participation’*, notify us as soon as possible by email. If this results in a cancellation of your participation, the following cancellation policies will apply.

Accommodation fee:
– In case of cancellation, we will try to find someone else to join the group in your place. If we can give your spot to someone else, we will refund only your accommodation payment.
In case we can’t find someone to take your place, the following policy will apply:
– In case of cancellation more than 3 months before the start of the retreat, you get a refund of 50% of the accommodation fee.
– In case of cancellation of your participation within 3 months of the start of the retreat, the accommodation fee is not refundable.

Teaching fee:
– In case of cancellation of your participation more than 4 weeks before the start of the retreat, 50% of the teaching fee is non-refundable (even if we find a person to take your place).
– In case of cancellation of your participation within 4 weeks of the start of the retreat, the teaching fee is non-refundable.

• In case, for whatever reason, you decide to leave during a retreat, you are not eligible for a refund.
• If WildTantra or Soul Valley changes or cancels a retreat, you will be informed by email before the scheduled event starts.
• If WildTantra or Soul Valley is forced to cancel a retreat due to force majeure, including measures taken by the government, WildTantra and Soul Valley will try to reschedule the retreat. If this is not possible, your payments will be refunded minus €50 administration costs.
• In case of cancellation by WildTantra or Soul Valley for other reasons, you will receive a full refund of the payments you made for this retreat.
• In any case of change or cancellation, WildTantra and Soul Valley are not liable for any of the travel expenses you might have made or any other costs related to preparing for the event.

*Conditions for participation
These are the conditions that need to be met to follow a retreat:
– You have to present at all retreat days and can’t arrive later, leave earlier or skip practices.
– Your behaviour must align with the WildTantra Ethical Code of Conduct, which promotes respectful behaviour in a sacred space.
– If you can’t meet these conditions, this will result in a cancellation of your participation in the retreat, and our cancellation policy will apply. Cancellation can happen before or during a retreat.
